Basics

Please note that if you are experiencing technical issues or difficulties regarding the StuyActivities website, please contact us at help@stuyactivities.org. If you are experiencing charter-related issues or have any questions regarding your charter, please email chartering@stuyactivities.org. All other Activity-related issues may be emailed to clubpub@stuysu.org.


  1. In order for an Activity to exist and operate, a charter must be submitted and approved by ALL Activity leaders, faculty advisor(s), and the administrators of the Clubs & Pubs department. Please allow up to 2 weeks for charter approval. When your Activity is fully approved and allowed to operate, your charter will be visible on the online catalog on the StuyActivities website (www.stuyactivities.org). All club leaders will receive an email when your charter has been fully approved and accessible on the catalog.
  2. If you are experiencing issues logging into StuyActivities in order to approve your charter, please see the information below. Please make sure to approve ALL Activities that you are responsible for upon logging in by clicking on the “Charter Approval” tab.
    1. If you are a student:
      1. Your username is everything before the "@" symbol in your stuy.edu email. For example, if your email is SampleStudent10@stuy.edu, your username would be SampleStudent10.
      2. Please use this link to click the "Forgot Password" button and use it to reset your password.
      3. Your new password will be sent to your @stuy.edu email.
    2. If you are a faculty advisor:
      1. Your username is everything before the "@" symbol in your schools.nyc.gov email. For example, if your email is SampleTeacher@schools.nyc.gov, your username would be SampleTeacher.
      2. Please use this link to click the "Forgot Password" button and use it to reset your password.
      3. Your new password will be sent to your @schools.nyc.gov email.
  3. Any Activity found violating the rules of their charter will face the possibility of suspension. All Activities MUST abide by what is submitted in their charter. If any changes need to be made, the Activity leader(s) must edit their charter accordingly, and have the changes approved. This means that all other Activity leaders and faculty advisors will have to re-approve the charter on StuyActivities.
  4. All Activities must have the following: at least two leaders (two presidents or a president and a vice-president).
  5. A faculty advisor is recommended for all Activities; however, a faculty advisor who is a licensed Department of Education pedagogue is REQUIRED if:
    1. An Activity plans to host speakers and lectures in the cafeteria, library, lecture halls or auditoriums.
    2. An Activity plans host events, meetings, field trips, etc outside of Stuyvesant with Activity members present.
    3. An Activity plans to host meetings in Stuyvesant past 5:00 PM.
  6. All Activities must have a mission which is consistent with the Chancellor’s Regulations A-601 and the Stuyvesant Code of Conduct. Any Activity with an inappropriate mission will not be chartered and will not be allowed to hold meetings in the school building.
  7. All Activities must meet/communicate in person (via registering an Activity meeting on the StuyActivities website) OR online at least ONCE a month. Any Activity found inactive for more than one month may face suspension and revocation of their charter.
  8. All Activities must adhere to the New York City Department of Education’s Chancellor’s Regulations. The Chancellor’s Regulations are available here. Any Activity that violates these regulations will face suspension and revocation of their charter with no exceptions.
  9. All Activities must adhere to the Stuyvesant Code of Conduct and other school policies. Any Activity that violates these regulations will face suspension and revocation of their charter with no exceptions.
  10. The Student Union reserves the right to facilitate mergers of highly similiar of Activities that share the same mission or are found to have excessive similarities with the approval of the COSA.

Activity Meeting Regulations

If an Activity is found in violation of any of the rules below, they will receive a strike (or suspension if otherwise stated). Any combination of 3 strikes will result in permanent revocation of the Activity’s charter. STRIKES CANNOT BE APPEALED. Please note that all Activity meetings will be audited by an SU auditor, who will report to the directors of the SU Clubs & Pubs department, and will distribute strikes accordingly.


  1. All Activities must hold meetings in an appropriate manner. Any complaints made by a member of the school staff or an SU auditor in regards to an Activity’s meetings can result in the suspension of that Activity. This includes any inappropriate behavior, fights, roughhousing, racist, sexist, homophobic, or otherwise disrespectful comments or statements, bullying (online or in-person), and in general, any violation of the rules of the Student Code of Conduct.
  2. If an Activity wishes to go on trips or engage in any activity outside of the school’s premises, they MUST:
    1. Have the registered Activity faculty advisor (not the Activity leaders) email clubpub@stuysu.org, the Student Union COSA, Mr. Polazzo, and the Assistant Principal, Mr. Moran, at least ONE WEEK in advance with the Subj: “Activity Meeting Outside of School Premises: [ACTIVITY NAME]”
      1. The email should detail the date, location, paperwork, number of people attending, Activity leader(s) and faculty leader names for the event.
      2. Mr. Polazzo can be reached at MPolazz@schools.nyc.gov and be found in Room 260.
      3. Mr. Moran can be reached at BMoran@schools.nyc.gov and be found in Room 103.
    2. Have a faculty advisor present AT ALL TIMES for the entirety of the duration of the event. Any Activity found in violation of this rule may face suspension and revocation of their charter.
  3. All Activities must leave the school building no later than 5:00 PM or at the specified time during that day unless the registered Faculty Advisor for the Activity is present.
  4. Activities may NOT use SMARTBoards in the classrooms for their meetings. NO EXCEPTIONS.
  5. If an Activity wishes to use the Media carts from the programming office, they may do so ONLY with the presence of the registered Activity faculty advisor to sign them in and out.
  6. All Activities are REQUIRED to take down flyers from walls and/or bulletin boards in a timely manner, within a WEEK of the event having taken place. Any Activity that continuously fails to do so will receive a strike and risk suspension and revocation of their charter.

Room Reservations and Usage

If an Activity is found in violation of any of the rules below, they will receive a strike (or suspension if otherwise stated). Any combination of 3 strikes will result in permanent revocation of the Activity’s charter. STRIKES CANNOT BE APPEALED.


  1. All Activities must reserve a room to be able to hold a meeting. In the event that an Activity is found holding a meeting without a room reservation, the meeting will be considered invalid and the Activity will receive TWO strikes, and may face permanent revocation of their charter.
  2. No Activity is entitled to a specific room. The room reservation process runs on a first-come, first-serve basis. Therefore, please make sure to register all Activity meetings in advance, as we cannot ensure that your Activity will be able to register for the same term each time.
    1. However, if your Activity needs a long-term booking of a specific room, please email clubpub@stuysu.org with Subj: “Long Term Room Reservation: [ACTIVITY NAME]”, detailing the valid reason(s) for why this reservation is necessary.
    2. Long term reservations will be handled by the Clubs & Pubs Department in conjunction with the IT Department, and done on a case-by-case basis. We reserve the right to refuse long-term reservations based on violation of Activity rules or otherwise.
  3. All rooms used for Activity meetings must be kept clean and sanitary. This means returning all desks to their original positions, erasing all boards, cleaning up any remaining trash, etc. Any complaints made and registered by a member of the school staff or an SU auditor to the SU Clubs & Pubs department in regards to the condition of the room used will receive a strike.
  4. All Activities MUST use the room reserved for their activity on the StuyActivities website. If an Activity is found using a room NOT reserved for use by their activity, whether this be by a member of the school staff or an SU auditor, they will receive a strike.
  5. All room reservations must be canceled at least 24 HOURS in advance if the Activity can no longer hold a meeting for any reason.
    1. This provides Activity members and the SU auditors enough time to be aware of changes to the situation, and avoid any potential conflicts.
  6. Any Activity that wishes to reserve and use spaces other than school classroom (i.e. cafeteria, auditorium, lecture halls) for meetings MUST have all appropriate paperwork filled out by the Activity’s Faculty Advisor PRIOR TO THE EVENT. Activities MAY NOT host meetings or invite guest speakers without prior notification of the SU. Any Activity found in violation of this rule may face suspension and revocation of their charter.
    1. The registered Activity faculty advisor (not the Activity leaders) MUST email clubpub@stuysu.org, the Student Union COSA, Mr. Polazzo, and the Assistant Principal, Mr. Moran, at least ONE WEEK in advance with the Subj: “[NAME OF FACILITY] Reservation: [ACTIVITY NAME].
      1. Mr. Polazzo can be reached at MPolazz@schools.nyc.gov and be found in Room 260.
      2. Mr. Moran can be reached at BMoran@schools.nyc.gov and be found in Room 103.
    2. The email should detail the reason for reserving the facility, as well as the date, location, number of people attending, and Activity leader names for the event.
    3. No Activity can invite guest speakers without approval from all entities listed above, as security must be notified in advance to let guest speakers into the building.

Budget Regulations

  • The Stuyvesant Student Union reserves the right to grant student Activity loans and/or allocations for use SOLELY for the benefit of the Activity as a whole.
  • Activities may apply for allocations at specific times throughout the school year. Please check the StuyActivities website for these dates.
  • All Activities that wish to receive allocations from the Student Union must fill out the appropriate paperwork available on the StuyActivities website. They must also meet with the Student Union Budget Directors to process their application at specific appointed times. Failure to do so will result in an automatic refusal of their allocation request. NO EXCEPTIONS.
    • However, if you are not able to attend the meeting with a VALID REASON for your absence (i.e illness, leaving the country, etc), please email clubpub@stuysu.org AND budget@stuysu.org PRIOR to the meeting detailing your Activity name, names of all Activity leaders and faculty advisors, and your excuse. Both departments will confer and decide upon further action on a case-by-case basis, and reserves the right to refuse additional meetings if the excuse is not valid.
  • Activities will NOT receive financial aid from the SU for food and/or drinks for Activity members, use of computers or iPads during meetings, payment for faculty advisors, or unapproved guest speakers. Furthermore, no member or administrator of the Activity will receive funding for personal purchases. All allocations will be judged based on their usefulness to their Activity as a whole rather than a benefit to one or few Activity leaders or members.
  • No club or publication is entitled to receive guaranteed funding from the Student Union. The SU Budget department reserves the right to refuse Activities allocations or loans on the basis of any appropriate condition or violation of rules hereafter.
  • Any Activity that uses money received from the SU in ANY WAY other than what it was originally approved for will be immediately suspended, and will have their charter charter permanently revoked.
  • The Stuyvesant Student Union reserves the right to audit any approved applications for funding at any point hereafter. All Activities are required to provide proof that their allocation(s)/loan(s) has/have been used for the original approved purpose.

ANY ACTIVITY THAT FAILS TO AGREE WITH THIS SET OF RULES AND REGULATIONS WILL NOT BE CHARTERED. ANY ORGANIZATION, CLUB, OR PUBLICATION THAT FAILS TO ADHERE TO THE ABOVE SET OF RULES AND REGULATIONS WILL RESULT IN THE SUSPENSION OF THAT ACTIVITY AND THE REVOCATION OF THE ACTIVITY’S CHARTER. THE STUYVESANT STUDENT UNION RESERVES THE RIGHT TO DISSOLVE ANY CLUB THAT DOES NOT FOLLOW THESE RULES AND REGULATIONS WITHOUT ANY PRIOR NOTICE.
