In order for an Activity to exist and operate, a charter must be submitted and approved.
Any Activity found violating their charter will face the possibility of suspension. All Activities must abide by what is submitted in their charter. If changes need to be made, the Activity must follow up with the Activities Department or submit a new charter.
All Activities must have the following: at least two leaders (two presidents or a president and a vice-president).
You must also have a Activity Faculty Advisor who is a licensed Department of Education pedagogue and they must be present if you would like to stay after 5:00 PM.
All Activities must have an appropriate mission, which is consistent with the school’s educational goals. Any with an inappropriate mission will not be chartered and will not be allowed to hold meetings in the school building.
All Activities must be an active part of the Stuyvesant community. They must meet at least once a month. Any club found inactive for more than one month may be suspended.
All Activities must reserve a room to be able to hold a meeting. In the event that an Activity is found holding a meeting without a reservation, the meeting will be considered invalid and the club or publication may face suspension.
All Activities must adhere to the New York City Department of Education’s Chancellor’s Regulations. The Chancellor’s Regulations are available here
Room Reservations and Usage
All Activities must reserve the rooms that they use for meetings.
No Activity is entitled to a specific room. The room reservation process runs on a first come first serve basis.
The Student Union’s IT Department will try it’s best to work with Activities to make long-term bookings.
All rooms must be kept clean and sanitary. Any complaints made by a member of the school staff or an SU auditor in regards to the condition of the room used can result in the suspension of the club that used the room.
All Activities must use the room reserved. If the reserved room(s) is not used, the club or publication can be suspended.
The room reservation must be cancelled at least 24 hours in advance in the case that the organization, club, or publication can no longer hold a meeting.
The appropriate paperwork must be filled out in order to reserve and use spaces other than school classrooms (i.e. cafeteria, auditorium, lecture halls) for their meetings by the Faculty Advisor.
Club Meeting Regulations
All Activities must hold meetings in an appropriate manner. Any complaints made by a member of the staff or an SU auditor in regards to a club’s or publication’s manner and behavior can result in the suspension of that club.
Organizations, Activities may not go on trips or engage in any activity outside of the school’s premises without the approval of the Principal, the presence of a faculty advisor, the filling out of the appropriate paperwork, and the notification of the COSA. The Department of Activities must be notified when this occurs.
All Activities must leave the school building no later than 5:00 PM or at the specified time during that day unless there is an administrative adult present.
Activities may never use SMARTBoards in the classrooms for their meetings.
Activities may only use Media carts from the programming office if a faculty advisor signs them in and out
The Stuyvesant Student Union reserves the right to grant student Activity loans and/or grants.
Activities may apply for grants at specific times throughout the school year. Please check the Student Union website for these dates.
All Activities that wish to receive financial aid from the Student Union must fill out the appropriate paperwork available at the SU Club Pub website. They must also meet with the Student Union Budget Directors to process their application at specific appointed times. Failure to do so will result in an automatic refusal of their request.
Activities will not receive financial aid for food and/or drinks, computers, payment to faculty advisors, and unapproved guest speakers. Furthermore, no member of the club or the administrator of the club will receive funding for personal items.
No club or publication is entitled to receive guaranteed funding from the Student Union. The SU Budget department reserves the right to refuse Activities money on any condition that they think is appropriate.
Any club or publication that uses money received from the SU in any other way than what it was originally approved for will be immediately suspended and future requests for financial aid will not be considered on any condition.
The Stuyvesant Student Union Department of Activities, as well as the Budget Department, reserves the right to follow up on any approved applications. All Activities are required to prove the money has been used for the approved purpose.
Other Club Requirements
All Activities are required to take down flyers from walls and/or bulletin boards in a timely manner. Any club that continuously fails to do so risks suspension.
All Activities are required to notify the SU Department of Activities about future guest speakers, fundraisers, and other events.
All organizations, Activities are expected to positively contribute to the greater Stuyvesant community.
ACTIVITY THAT FAILS TO AGREE WITH THIS SET OF RULES AND REGULATIONS WILL NOT BE CHARTERED. ANY ORGANIZATION, CLUB, OR PUBLICATION THAT FAILS TO ADHERE TO THE ABOVE SET OF RULES AND REGULATIONS WILL RESULT IN THE SUSPENSION OF THAT ACTIVITY AND THE REVOCATION OF THE ACTIVITY’S CHARTER. THE STUYVESANT STUDENT UNION RESERVES THE RIGHT TO DISSOLVE ANY CLUB THAT DOES NOT FOLLOW THESE RULES AND REGULATIONS WITHOUT ANY PRIOR NOTICE.
